Care of Chan

Care of Chan is a premiere event production agency, specializing in memorable food events and purpose-driven experiences that create meaningful and impactful connections. We’re looking for a passionate, driven, and organized Production Manager who loves to create community and conviviality through events and experiences. Care of Chan’s event productions range from intimate dinners, festive picnics, and cookbook shoots to theatrical premieres, fashion launches, and some of the industry’s most exciting food festivals. We welcome applicants with event production experience who think two steps ahead, who excel at client relations, budgeting, logistics, and project management, and who are currently planning which five new NYC restaurants they are going to try next.

Responsibilities:

  • Serve as Account Supervisor and manage the day-to-day execution of select agency event productions, under the guidance of the Director of Production. Ensure that all account events and productions are executed to Care of Chan’s exacting standards and protocols.
  • Act as the main point of contact for assigned client accounts, manage daily communications with clients and build strong client relationships. Own problem solving and expectation-setting with clients during production on behalf of the team.
  • Lead event production budget generation for accounts, tracking, and financial reconciliation, including the processing of all production vendor invoices.
  • Use project management tools and systems to set critical paths for the Production team, propose timelines, and track deliverables for all events and productions.
  • Oversee the end-to-end project management documentation for event success, including the creation and upkeep of production schedules, contact sheets, inventory docs, and post-mortem reports.
  • Lead freelance event staff assigned to various production roles across active account productions (ex. Line Producers, Creative Producers, Associate Producers). Provide oversight of all of our systems and processes to ensure that the project is executed by freelance staff to Care of Chan’s standards. Coach and give feedback to the team to foster their growth and development.
  • Negotiate and coordinate freelance staff contracts and vendor scopes.
  • Collaborate with the creative team on programming ideas by providing budget guardrails and identifying and sourcing vendors that bring the events’ creative vision to life.
  • Contribute to decks, promotional materials and presentations that articulate event vision to clients and position Care of Chan as the best fit for the scope.
  • Attend events and oversee their execution with an eye for the highest standards of service and hospitality.
  • Foster relationships with key event vendors and people in the food, beverage and lifestyle industries.
  • Support with Production Department infrastructure updates as needed. For example, writing and revising templates, training materials, and reports.

Requirements

  • 5 years of event production experience required
  • 1-3 years people management experience required
  • Agency experience in both client services and production is preferred
  • Demonstrate a strong understanding of experiential marketing production elements, including but not limited to budgeting, logistics, contracting, vendor categories and management, venue capabilities, onsite execution, etc.
  • Confidence to present and communicate with senior clients and Executives. Possess exceptional written and oral communication skills.
  • Experience producing a wide variety of event productions, ranging from large-scale custom experiences to small-scale turnkey events, preferably in the food, fashion, design, and/or entertainment sectors
  • Must live in the NY metro area: our team is required to be in the office three days per week, and proximity to NYC event sites is required
  • Willingness to travel; many of our events are in key markets across the country (travel approximately 20% of the time)
  • Ability to adapt to the quick-moving pace and frequent pivoting of agency work
  • Proficiency in Google Suite, Excel, Slack, and other project tools such as Asana, Docusign, Adobe Suite, etc.
  • Strong understanding of the NYC and LA production landscape (venues, vendors, permit rules)
  • Solutions-oriented: relishes challenges, handles pressure well and can think on their feet while coordinating with others to proactively meet deadlines
  • Thoughtful communicator: you receive and provide feedback graciously, you anticipate and proactively ask for what is needed
  • Hospitality oriented: Making the clients happy and the event a success are your top priorities
  • Highly organized; you will be working on multiple projects at once
  • Love of food, drink, and conviviality

This role is a hybrid position, based in the New York metro area. Our team is required to work from our office in Lower Manhattan three days per week, in addition to onsite event requirements (willing to travel approximately 20% of the time).

The base salary range for this role is $75K - $90K.

In accordance with NY law, the range provided is Care of Chan's reasonable estimate of the base compensation for this role. The actual amount may be higher or lower, based on non-discriminatory factors such as experience, knowledge, and skills.
